Privacy Policy
Effective date: October 2, 2026
This Privacy Policy describes how LoadPilot AI (“LoadPilot,” “we,” “us”) collects, uses, and shares information when you visit loadpilotai.com, create an account, subscribe, or use the LoadPilot product. The public interactive demo uses sample data in your browser only; signed-in workspaces store real account and operations data on our servers as described below.
Information we collect
- Account & authentication. Email address, password (stored hashed by our auth provider), name, and role when you sign up or are invited to a workspace.
- Workspace & operations data. Company/workspace name, drivers, loads, documents you upload, LoadStop/EDI imports, assistant chat context, and related dispatch settings you enter into LoadPilot.
- Billing. Plan selection, truck quantity, and payment status. Card and payment details are processed by Stripe; we do not store full card numbers on our servers.
- Communications. Messages you send to us (for example to sales@loadpilotai.com), including sales and support email.
- Technical data. Browser session tokens (typically in local storage), approximate device/browser information, and standard server logs needed to operate and secure the service.
How we use information
We use this information to provide and secure LoadPilot (including multi-tenant workspace isolation), process subscriptions, respond to sales and support requests, improve the product, and comply with law. Optional AI features (for example Otto assistant, or a photo document read you start) may send prompts, the photo, and relevant workspace context you choose to submit to our AI provider. Check-call email or text is sent only after you confirm, and only when that channel is configured.
Service providers
We use trusted processors to run the product, including:
- Supabase — authentication, Postgres database, and file storage for workspace data.
- Stripe — payment processing and subscription billing.
- Email — transactional and sales email when you contact us or receive account-related messages.
- Hosting / CDN — application hosting (for example Vercel) to deliver the website and app.
- AI providers — when you use AI-assisted features, prompts and necessary context are processed to return results.
These providers process data under their own terms and only as needed to provide their services to us.
Cookies & local storage
We use browser local storage (and similar technologies) primarily to keep you signed in and remember session state. The marketing site and interactive demo may also use local browser storage for demo UI state. This is not the only place LoadPilot stores data — signed-in workspace content is stored in our database and storage providers described above.
Sharing
We do not sell your personal information. We share data with service providers as needed to operate LoadPilot, when required by law, or with your direction (for example inviting teammates into your workspace).
Retention & security
We retain account and workspace data while your account is active and as needed for billing, security, and legal obligations. We use industry-standard safeguards (including encrypted transport and access controls / row-level security on workspace data). No method of transmission or storage is 100% secure.
Your choices
You may update profile and workspace information in the app, request deletion of your account by contacting us, and close your browser session by signing out. Workspace admins control teammate access.
